Retena ("we", "our", "us") provides AI memory services for WhatsApp. This Privacy Policy explains how we collect, use, and protect information when you use our platform to capture group conversations and personal chats.

1. Information We Collect

Account Information: When you connect your WhatsApp account to Retena, we collect your contact details and the identifiers necessary to link your messaging platform account to our service.

Communication Data: We capture messages and voice notes from the group conversations and personal (1-on-1) chats you have explicitly authorized and selected to track. Audio is processed for transcription and retained only as needed for processing, retry, quality, security, and retention controls.

Transcription & Message History: The text content of transcribed voice notes and captured messages (from both groups and personal chats) is stored in your dedicated workspace to enable search and recall features.

Usage Data: We collect metadata such as message counts, transcription volumes, and feature usage to manage service limits and billing.

2. How We Use Your Information

To provide searchable AI memory across your entire WhatsApp history
To transcribe voice notes and make them text-searchable
To generate daily summaries and activity insights
To enforce usage limits based on your subscription tier
To process payments and manage your subscription
To send service-related notifications and alerts

3. Data Sharing

We do not sell your data. We share information only in the following limited circumstances:

AI Processing: Voice notes are sent to our speech-to-text infrastructure for transcription. Audio is processed transiently and not used for model training.
AI Search & Summaries: Message content is sent to our AI providers for query answering and summarization. This data is processed in real-time and is not used to train external models.
Payment Processing: Billing information is handled by our payment processor. We never store credit card numbers.
Legal Requirements: We may disclose data if required by law or to protect our rights, provided we notify you where legally permissible.

4. Data Retention

Audio files: Processed for transcription and retained only as needed under the active processing, retry, quality, security, and retention policy.
Messages & transcriptions: Retained according to your selected plan and workspace retention settings. Business, Scale, and Enterprise can include longer retention and export controls. You may request deletion at any time.
Account data: Retained while your account is active. Deleted within 30 days of account cancellation request.

5. Security

We implement industry-standard security practices including encrypted connections (TLS 1.3), encrypted data at rest, access controls, and regular security reviews. Your team's communication data is isolated in a dedicated workspace and not accessible to other organizations.

6. Your Rights

Access: Request a copy of the data we hold for your organization
Deletion: Request deletion of your workspace and all associated data
Export: Export your transcription and message history according to your plan controls
Portability: Your data belongs to you — not us

7. Consent & Informed Parties

By enabling Retena on any group or personal chat, you represent that all parties involved have been informed that their messages and voice notes will be captured and analyzed. For group conversations, the account administrator is responsible for notifying group members. We strongly recommend informing all parties before activating Retena on any conversation.

8. Children's Privacy

Retena is intended for users 18 years of age and older. We do not knowingly collect information from individuals under 18 years of age.
